Adaley Inc. Guidelines For Service
1. Our Shared Role
Adaley Inc provides the administrative framework (payroll, taxes, and insurance) so you can receive personalized support. Under our model, you identify the caregiver who best fits your family’s culture and needs, and we hire them as an Adaley employee to work specifically with you.
2. Managing Your Caregiver
Because your caregiver is someone you know and trust, you are responsible for the day-to-day direction of services:
Scheduling: You and your worker coordinate all dates and times directly.
Training: You provide instructions on the client’s specific care routines, house rules, and safety needs.
Daily Supervision: You oversee the worker’s performance and ensure they are meeting your family's expectations.
3. Timekeeping & Billing Rules
To ensure your worker is paid on time and we remain compliant with Regional Center regulations:
Minimum Shift: The shortest billable session is 15 minutes.
Rounding: All shifts are recorded and rounded to the nearest quarter-hour (e.g., 1:07 becomes 1:00; 1:08 becomes 1:15).
Authorization Limits: You must ensure the worker stays within the total hours authorized by your Regional Center. We cannot pay for hours that exceed your current authorization.
4. EVV & Shift Approvals (Required)
California law requires Electronic Visit Verification (EVV) for all services.
The App: Your worker must clock in and out using our mobile system at your location.
Family Sign-Off: At the end of every shift, a family member must review and sign off on the digital record.
Payroll Deadline: We cannot process paychecks without a verified EVV record and your signature. Timely approvals ensure your worker is paid on schedule.
5. When to Contact Adaley
While you manage the daily schedule, please notify our office immediately if:
Safety/Incidents: Any injury or emergency occurs involving the client or worker.
Changes: You receive a new authorization or your Service Coordinator changes.
Hiring/Terminating: You have a new person to refer for hire, or you no longer wish to work with a current employee.
Support: You have questions about regional center, your services, or the Aaniie SmartCare app.
